Attention! Deltek Advantage Customers
It has been a pleasure to work with your firm over many years. We think about our clients even when periods of time pass, that is, you’re actively working with us now or not. So, I am writing you out of both concern and advisement. We believe your firm needs a new project accounting software solution. In my best estimate, our Geographic area New England, there remain hundreds of Deltek Advantage clients that have not addressed changing software. Also, as we/DMC continue to navigate Advantage support, those issues have become increasingly difficult to solve for.
DMC Accounting + Technology is a consulting firm; yes we understand software is an expense, change is hard and the economy in, what seems be, too long of recession. It’s just not making good business sense anymore given what comes across my consulting desk and to continue to encourage trusted relationships to “stay the course”. In my opinion, Deltek Advantage is not supported for new technical releases, payroll releases and technology IS changing, not on hold.
Kindly place this in your firms’ budgeting for 2012 and open discussions with us. From what I see firms have recovered with better profits for 2011, as IT departments not just the accounting departments have increased calls to us for help. Those calls increase in severity.
We work, understand, the finance/accounting, implementation, educational and technical install of two leading professional service solutions. Yes, Deltek Vision, but also Axium Ajera. Why? Our clients wanted selection and I selected Axium’s Ajera solution as great alternate when appropriate. That facts are, we have serviced over 40 Ajera clients, not just 70 Vision solution clients and there are still hundreds on Advantage, that is worrisome. We are not resellers, we are great consultants.
I too am sad Advantage is no longer developed but plenty of firms are happy and fine moving past it. Please contact us, look for our upcoming user group and seminars and for any reason you should not have received this letter just let us know, we will correct our systems.
What matters more, upgrading software or fixing what doesn’t work in your accounting? In 2011,
budgets are not as tight but spending patterns are still acting like it. From our side,
this year was slow in respect to upgrades and new implementations, but large in regards to
fixing what clients do not like in their software. What I am saying is firms are spending
money, just not on software.
Case in point, in all our key supported AEC service areas - Deltek Vision, Deltek Advantage and
Axium Ajera - our project work has been all about making it work, making it better. This year
has been greatly satisfying for us. Our work efforts resulted in billing templates that reduce production time, department and profit center re-work (so financial information can be best managed), and simplified core project reporting that upper management previously designed. All
of our work was NOT in Excel, but inside the existing investment.(i.e. the software)
Sure, we think our clients need to address IT upgrades and replace software. However, in 2011
getting software to work is a better use of dollars.
All good things come to an end, but frankly, seeing the end to Deltek Vision version
5.1 support is a good thing. We all know how hesitant users are to change. Deltek
Vision version 6.1 Service Pack 4 has been out for over a year, and we want to encourage
clients to make the leap because Deltek is retiring support for 5.1 very soon. Moving
to 6.1 SP4 is a good thing, the reporting function was moved to SQL reporting services
and it’s chock full of operational improvements and more manageability for custom
invoices. DMC is a Deltek Vision client and user, and we maintain our Deltek Vision
application up to the current versions. We upgrade ourselves first and work out
the kinks so that our clients don’t have to.

As with most accounting products, a change in technology can be a mix of some great
feelings and some painful ones. With that said, I turned over a new leaf and took
a look at QuickBooks with fresh eyes and a renewed hope for the online version.
Does it solve for the stuff I hate such as tangled, misleading accounting? QuickBooks
Online does do a nice job in a few of the usual nagging areas. The online version
essentially solves for version and licensing conflicts. With the online version
of Quickbooks, an outside CPA or accountant can log into your database without chewing
up a software license, and there’s no need to worry about whether or not each of
you are on the same version. Also, there are no additional license fees for the
timekeeper portion. It solves for worldwide accessibility over various Mobile Operating
Systems (although the IPhone app is not yet fully functional) and some of the download
capabilities are far improved over the desktop version of QuickBooks. The payroll
integration is better, but beware, you’re starting with a new service that has a
monthly fee. There are data limits on the upgrade, so if you’re one of those with
20 years of data, I’d start looking at other solutions such as Axium Ajera or Acclivity
AccountEdge. All in all, it’s a great product and we look forward to watching it
develop, but recommend comparing your business’ needs to the software’s abilities
prior to making a change.
Court Systems + the Commonwealth of Mass Need an Upgrade - Tuesday, May 24, 2011

Hi this is Doris!
Ever have one of those weeks where nothing seems to be swinging your way and then
you get some tedious letter that reminds you of why our civil court system needs
a "reboot”? I received a check in the mail last Friday, May 6th, of $6.50 from the
Constables Offices of the City of Boston to appear/testify and/or produce paperwork
at a downtown law office on May 10th. The matter surrounded a civil lawsuit initiated
by other parties. OK, let me think...it’s Friday mid-day, I am 150 miles from Boston
and need to respond (note: the letter says I must respond or else). I suppose that
is understandable, civic duty IS civic duty. But, what am I supposed to do with
this $6.50 check with a handwritten memo that says “witness fee”? Does that buy
the coffee?
It seems like every other year I get picked for jury duty, which I believe most
employers pay for. I think that’s understandable as it’s your civic duty to go.
(But I get lots of jury duty requests, maybe because I am at the start of the alphabet?)
The last I saw, Federal Jury Duty only pays $30 dollars a day for 3 weeks and you
have to be on call for the entire duration. Yes, it’s definitely our civic duty,
but $30 dollars a day in Boston? Last rant: the small claims limit for speedy process
of civil claims is stuck at $2000 cap plus the filing fee for 30 years.
OK, enough; if the government wants to help further lift us out of the recession,
taking a closer look at these 3 areas could do it. People lose time and time means
pay and pay translates into revenue. I don't know, $6.50 seems like a typo, $30
dollars a day seems below the poverty level, and the small claims limit places too
much risk back to small businesses to extend credit. An upgrade of civic duty compensation
is in order!
I, like any business owner…wish to be prosperous and succcessful. For some, that
means money, but for us at DMC it also means bringing in clients which are a good
fit. Profit is great but without that good fit both sides of a consulting relationship
can and often do struggle. Yesterday, when bringing a new client on board, I found
myself struggling to communicate about how we work for success. Our discussion was
bogged down with small logistics that are slowing down the big picture.
After 20 plus years in the consulting + CPA business, we think a valued skill set
+ the right fit = success & profit. Clients who service with us regularly value
operational accountants who know how to operate the application of their industry.
If you are tired of being on hold or talking to overseas support lines, you’re in
the right spot. Sick of the those 1-800 lines and bureaucratic jerry rigging to
get to the right person? Then lets speak. We want to help.
Alert: Travel Advisory and it’s not a snow storm. I travel a lot and think it's
important to observe change. Some changes are not good and worry me, just like all
this snow. Imagine you get so very snowed in you can’t dig out for days. That same
feeling took me over when I was traveling overseas last week. The Airline I was
traveling only accepted Credit Cards to pay for on board food. This is not all that
new, maybe been in place this past year, but it suddenly hit me, that cash is NO
good. The passenger next to me only had cash to buy a sandwich and he seemed hungry
to me. Is cash not legal tender? Is Visa legal tender? Can’t be good…is this a policy
set under the guise of security? Or is it some type of built in profit thing for
the credit card Company?
If security is the issue case, I am all for security, that keeps things moving along
and doesn’t crush the average person, this poor guy was hungry and it pretty inhuman
not to take real money. Shame on the airlines, shame on us of not piping up.
I knew the White House would cave in on the Bush tax cuts. On the plus side, I did
hear about a new 2% payroll tax reduction. If they did it right, that should begin
to help out the employer and the employee. Maintaining and providing more tax cuts
could mean another year of survival for small businesses. These payroll tax cuts
could also help offset the staggering health care costs emerging in Massachusetts.
Implementing and extending the Bush tax cuts have been estimated at a total of 1
trillion dollars, that’s a lot of zero’s! Spending an additional trillion dollars
and still not addressing the national debt will obviously leave the next generation
stuck with a major problem. The US media and government keep asking small businesses
to hire, yikes how? Newsflash, small businesses tanked unexpectedly only a few years
ago, they had their credit lines cut, unprecedented losses, and ever since, tax
laws have been moving like a see-saw. Cutting the payroll tax could do it, but government
truly tightening its belt and implementing lawful regulatory oversight will prevent
the economic downturns we’ve seen in the past. Small businesses will spend and invest
when the US government starts behaving.
Calling technical application support lately is getting the best of me. Like many
qualified accountants, I rarely call unless it is client related. So most of the
time when I call in it’s because I don’t know the answer and fear there is a defect/bug
in the accounting application and I am the only one who sees it. To make my case,
recently a client accounts payable report was not reflecting the proper payment
due date. The general attack plan for me is to arm myself with lots of data, samples
and instructions to prove to the manufacturer I am right. Then I skip through to
the right person. The next step is to repeatedly explain the issue until the support
rep fully understands. Then, after it’s proven there is a defect, one has to wait
or is asked to endlessly work around the agreed upon defect. One can end up waiting
a long time. I cross my figures my case is not transferred to another person who
then needs to be brought up to speed.
I just can’t be the only person who feels this way. I like having my gas pumped,
my hand held by my legal, insurance advisors and IT. We had a resurgence of clients
ask us to consult on these increasing types of matters, so their concerns get addressed.
Support analysts can be measured on how quickly they close a question, not on solving
it. Use us as your consultants; we have no other interest beyond getting the answer
and making your day better.

Frustrated with Merchant Credit; An example of capitalism gone wild!
I think some merchant banks (and cell phone companies for that matter) need to earn
their business, year after year. Most of us would get fired if we didn't deliver
consistently and keep our clients happy, and they should be held to the same standards.
One thing that never ceases to amaze me is outrageous termination fees. Termination
fees are ridiculous, and companies that enforce them should realize that the customer
will never return— ever. Most of the time, they are unwilling to work with the (now
former) client to rid or even reduce the fee, even after years of loyal service.
Especially in this economy, a hefty termination fee can be a struggle to pay.
Here in the US, certain merchant banks create contracts that one would need a magnifying
glass to read. Initially, most of these contracts seem to allow the addition of
hidden fees and charges once you get on board, and suddenly you’ve sign up for a
service that is constantly changing (and not for the better!). Occasionally, the
consumer receives a contract addendum that has such tiny print, you'd need a magnifying
glass to read it, if not to understand it. My guess is some US merchant banks have
teams of non US telephone operators to handle the screaming phone calls they get
from angry clients and consumers. However, enough people must pay for it; otherwise
they would stop doing it.
I don't believe merchant bankers stupid charging fees are a decent strategy: at
$ $$ an instance , one only needs to add customers, tick them off, and make money
on the termination fee! Suggestion: bank local and make local relationships. Look
to using debit cards/cash basis until the economic climate evens out. Pay for what
you can afford now or wait till you can afford it. These contracts are too tricky.
Yesterday, I grabbed the local Metro West Newspaper and my coffee, and began reading
what’s new in the community. As I maneuvered around the articles, the disgruntled
JetBlue airline attendant decided to slide out the airplane emergency exit with
beer in hand got a chuckle from even me. As entertaining as this was, I came across
a story that impacts us a bit more than a bugged-out worker. A neighboring town
is now on its 4th controller in 4 years. There seems to a problem with bookkeeping
where payments and money is either miscounted, non-accounted or there is some other
lengthy reason for a fairly large town’s finances to not be in balance. Sounds like
cash in the bank has not been reconciled in years!
To make my point, accounting matters; I cannot provide enough real life experience
where money shortages are fairly basic and the root of the problem is bad bookkeeping.
DMC enjoys bookkeeping, we like ticking and tying those numbers. I’m not sure exactly
what went wrong in this particular town, but maybe the 4th controller will be the
charm. However, it seems like the government could use a little “Numbers 101” lesson
to learn the basics of adding numbers.

Mass Privacy Law: How Does it Impact Me?
Our upcoming newsletter is dedicated to how the new Mass Privacy Law impacts you
and your company. The law is titled 201 CMR 17:00 and it officially took effect
March 1st of this year after several stalls.
Massachusetts has implemented a privacy law that can be considered the toughest
in the country...hooray! Not so fast—much of the law moves the burden to protect
from identity theft and credit card fraud to each and every person in the Commonwealth.
I am very much a proponent of getting those techie bad guys, but so far I don't
hear or see businesses and individuals racing to us with questions on compliance.
Compliance is a great portion of the new law; it touches on many specifics that
should already be in place to protect individuals’ private information. The law
takes time to define what personal information is (PI) and how you must have a policy
in place to protect and track it. It also states that you must follow a mandated
procedure in the case of a security breach. Non-compliance will have consequences.
We are providing information to our clients so they are aware and understand the
new law as it relates to technical accounting and personal information. As always

DMC is a service-focused company that works for its clients. Since Deltek's initial
announcement of support phase-out, many years have passed. So we feel as though
a short reiteration of how we work with clients still on Advantage would be helpful.
Accounting and Bookkeeping is needed for businesses in the AE community, and thus
it is critical in our eyes that we continue to support operations on a routine basis
for common accounting needs: invoicing, data entry and closing entry services. With
that comes our commitment to continue to train existing and new client staff on
the Advantage application.
Additionally, we are experienced in all the technologies associated with keeping
Advantage running, such as moving, recovering, reinstalling the application and
components. Routine maintenance and backups can be monitored. We will continue to
support this until the last piece of compliant equipment and patch will work.
Moving to a new application is not the only option, although someday at some point,
it may be the only option. What is most important is what the client is asking for,
especially in this economy or for any business reason that is their priority.
Is it just me, or has the tax compliance reporting requirements for those using
in house payroll become even more complex. I remember the time where the average
wage earner could meet the social security limit and the w-2 actually represented
true gross wage. With that said, the Massachusetts deployed a new web reporting
interface with the Department of Unemployment (DU) that repeats information already
reported on with the massachusetts department of revenue web file reporting and
requests new info.
In my opinion, the new Massachusetts DU web reporting is rough to setup and a bit
cumbersome to navigate. Meaning, you're wondering how to print and unbelievably
re-keying social security numbers, wages, and withholdings. Also, you have a new
quarterly hours reporting requirement and double accounting of taxes withheld.
DMC has always supported payroll intregration for payroll data uploads to banking
NACHA files in the softwares we support. We found that the new Mass DU site has
data upload formats wage reporting too and we have begun supporting our clients
with in house payroll on this ASAP. Rekeying this type of information even for 5
employees is too subject to error. Worth the investment to get this info out of
your software and uploaded automatically.

Nowadays, the world changes faster than you can keep track. What hasn’t changed,
though, is the need for small businesses to have a good relationship with their
business bank. Your option to choose a small competitive bank outside your local
area has become easier than ever. We’ve found that being in Boston all these years
limited us to use the big banks. Occasionally, I wanted to receive a phone call
from someone who knew our commercial account personally and could help us when issues
came up. Playing phone tag, long teller lines, and the constant rotation of bank
contacts was frustrating. I wanted a bank that ran like a small business, not just
a money machine. Good news! The bank we’ve been looking for ended up being 30 miles
west of our offices and it’s as if they are right next door. We are able to remotely
bank our daily deposits from our offices, and transmit ACH and EFT transactions.
And if all that wasn’t good enough, we were show step by step the entire process
for ordering checks, establishing our secure logins for the web, and making deposits
from our PCs. Try getting that kind of customer service from the big banks nowadays.
For some of you it's the simple changes that would make you happy when it comes
to your invoice formats. Although improved, Deltek Vision 6.1 standard template
options may not meet your principal's requirements when it comes the professional
look and feel you want in your invoices. No matter who the programmer or software
vendor, professional firms really take pride and how their invoices need to look.
The fees for custom invoice services can be significant and a poorly presented invoice
can lead to client confusion or worst, delay in payment.
Until Version 6.1 SP1, changing an invoice format could be costly, partly because
invoice formats were placed in Actuate, a not common report writer that is difficult
at best for even an experienced person to master. With Actuate now gone and Deltek
invoices using SQL Reporting we have had great success in making the simplest of
changes a reality for clients.
For instance, bolding, alignments, relabeling and general spacing can be changed
for a reasonable cost. In fact, other reports also have that same ability for change.
Skilled staff can accomplish this with permanent documentation .
We have installed, supported and prepared books for A LOT of Deltek clients. We’re
a small, personalized, group of consultants that possess the skill sets to better
attend to needs or problems. We recognize hopping around support departments, waiting
on call backs, and unraveling bookkeeping mistakes are frustrating situations for
owners and controllers who may not have the time to fix the issue. More so, those
utilizing us tend to know our names, know who to go to, and if not, our phones are
picked up and a real voice can at least defuse and route the issue. I love automation
and working in the applications we support. We are an accounting firm that businesses
can trust to deliver the best results.
Accountants like to count...don't laugh, for the most part it’s true. Those in the
profession almost always share their love for numbers and the fun of ticking. And
if we’re not counting away, we are reminiscing in the joy of locating mistakes.
For me finding mistakes and observing things that others miss IS the part that keeps
me in the accounting field all these years.
Just yesterday, not a client but a vendor emailed us a repair bill for equipment
improvement, the invoice made it to my approval box and I noticed they were charging
Massachusetts sales tax on freight using QuickBooks. So being a good neighbor I
suggested they revise the invoice, which they graciously did and thanked me. In
addition, there may be an opportunity to amend their sales tax returns now for charging
sales tax on freight in Massachusetts.
With the economy working on and heading towards a full recovery, finding these mistakes
add up and certainly help the process. People make mistakes, accounting rules are
layered and systems only produce what you tell it to, so consider using a professional
to review your books and discover often overlooked cost savings.

We recently upgraded our internal accounting and CRM software to Vision 6.1, but
not without setting up a test environment. Deltek Vision 6.1 is a major upgrade.
There are a enough changes in the product’s features and infrastructure to warrant
setting up a pre-conversion environment to test your day to day needs. We have successfully
created a low cost test set up for many of our clients and these are some of the
items we've bumped up against so far.
Deltek Vision 6.1 is a full rebuild of reporting services to SQL reporting
Deltek Vision 5.1 is fully uninstalled, 5.1 and 6.1 cannot both exist on the server.
Microsoft Excel downloads are different, there are changes to navigate and search.
Printing is handled differently, anticipate work in printing
The interface is new but easy to adapt to (low training curve.)
CRM activities have a design view
Data entry seems faster
Invoice templates with logos have needed a small amount of work to reuse them
Timekeeper comments entry has an autofill feature
Consider using us to help with your Deltek Vision upgrade, it can be managed and
completed for a very reasonable cost. We can set up a test environment before converting
live so that we can work out any issues beforehand. And remember, we can set up
test environments for other products we support too, such as Axium Ajera, Intuit
QuickBooks, MYOB, BQE BillQuick, and Sage.
A good portion of our service work is what we call retrofitting. Some clients, in
good faith, choose to implement their accounting software on their own or solely
with the manufacturer, only to find out they may have been better off fully outsourcing
the project.
We are a first choice stop for fully implementing accounting software pre and post
sale with your manufacturer. Common mistakes that clients make can take an already
significant investment and spin in out of cost control. If you are on the verge
of purchasing a new application, seek professional advice:
Don’t assume your staff has the double time to pick up on a new accounting system
right away.
Avoid evaluating software on your own without a professional. It’s difficult to
fully analyze a software in just a few presentations.
Relying on your IT department to choose hardware and deployment solutions if they
have no Accounting background can be problematic.
Try not to analyze software contracts without a professional. DMC Accounting + Technology
knows what a contract should look like and how much modules and services should
cost.
Don’t buy before fully testing your reporting, invoicing and other accounting requirements.

Stories about aggressive trade practices by software companies have once again filled
my voice mail box this month, creating an impact on my work and clients. Aggressive
trade practices have invaded the software market on many levels. I am struggling
with software companies wishing to be part of small businesses’ routine overhead
costs, contracting practices, and insisting once you render business with them you've
entered a marriage of sorts.
Think about the following practices that have created calls into our offices:
In a downsized economy licenses CAN be reduced. Most software companies base their
annual maintenance fees in relation to how many licenses you own. Licenses are measured
by employee count or workstation count. In times of recession licenses can be reduced,
saving your firm lots of money.
Terms and contract conditions that have no refund policies on warranty for use.
Software agreements are contracts, and in many of those contracts there are built
in % increases to their maintenance plans.
Inability to purchase software separate from support agreements. Unfair cancellation
practices.
Vaporware is when a software company does not fulfill a verbal promise that a needed
feature will be part of the product and that it is "coming soon". Coming soon can
be never and coming soon can mean more money.
Aggressive support lines that push to buy or sell upgrades.
What does it mean for you when software companies say "we are no longer supporting
your version of software?" Should this spin you into action to make a change? My
experience with this type of small business marketing almost always results in a
frustrated client. Why? because small businesses tend to want to control their decisions
and choices.
Here is an example: The HP MFP8150 is a great multi task printer that scans, prints,
creates PDFs etc. but its software and drivers are no longer supported by HP. This
creates a repair problem should you need to reload the software on your server and
the license is not supplied anymore. Use MS Office? Don't lose your CD and license
on an unsupported version, they’re not replaceable. Use Quicken 2006? They turned
off the download feature automatically on April 30th of this year.
What I am saying is that the larger the company, the smarter they are about this
stuff, and know that eventually even if you are happy with your current setup, they
might be able to force a change on you by not supporting an old version anymore
in order to get you to spend more money.
Whether you are on Axium, BillQuick, Deltek Advantage, Deltek Sema4, Deltek Vision,
Deltek Win2, Intuit's QuickBooks, MYOB, Sage Fixed Assets (FAS), or Sage Master
Builder, we work to support any technology that you own until you are ready to let
it go!

Working with financially healthy vendors is smart, but how does one know if their
sub-consultant, software company, insurance agent or even their landlord is in trouble?
Yesterday market news announced the largest chapter 11 bankruptcy in US history
made by General Growth Properties. GM is on the fringe of a managed bankruptcy,
and it makes you wonder “who’s next?”
Wondering is not a very strategic method to tap into the complex interdependencies
regarding vendor relationships. And panning through publicly issued financial information
can be more than cumbersome for the non-accountant. But there needs to be some method
of diligence so your firm does not end up getting dragged into the financial troubles
of another. If the general contractor goes under, there's a toppling effect.
Using professionals to read financial information of an interdependent company is
a must if you’re not an accountant. For instance, terms "accumulated deficit", "debt
to worth" "current ratio" are all key indicators of whether companies have financial
challenges. In addition, credit histories are an indicator of how someone pays their
bills, and referrals from industry peers in respect to credit can be even more powerful
for choosing who you do business with. Ask your vendors: how is business? Most people
will be clear with you in telling you if the phones are ringing off the hook or
if their projects have just stopped.
Think of the key areas: if your vendors were in trouble, how would that impact your
company? Be aware of the following: Accounts Receivable bad debts, Landlord is in
arrears on Real Estate Taxes, Life Insurance Company gets Tarp money, the Bank cuts

and your vendors, as a strategy to reduce your risk.

Going green has created a new set of challenges concerning integrated accounting.
Less paper is good for trees and our environment, and we at DMC have moved much
of our paperwork to electronic formats via scanning, no longer retaining hard copies,
and emailing client invoices and paying vendor invoices electronically. On the other
hand, a few green initiatives have presented new challenges and we've been working
on helping firms tackle those challenges.
For instance, electronically paying bills creates recurring transactions with non-traditional
check number sequences; small business solutions like MYOB handle this well via
downloads. Mid Range systems like Axium’s Ajera easily identify these differing
types of transactions. But Deltek Vision has no feature to differentiate this transaction
type. Most midrange applications we work with do not download with the commercial
banks like MYOB or QuickBooks do, and they’ve had this feature available for years.
Importing is not the same as a slick downloading feature. And the same holds true
with merchant processing. But not the case with ACH payroll uploads.

Web based access can be achieved in any accounting application. You don't have to
buy a web based application in order to run your accounting software across the
World Wide Web or from your home. If web access is important to you, so that you
can enter Time & Expenses or look up vendor or client information, know that solutions
exist at all levels of cost, even some that are free of charge.
There are a few factors you should review when considering a remote access solution
for your accounting software. Your tolerance for security, your need for speed and
easy access, and your budget will each go into determining which remote solution
is right for you. You should be able to locate a remote solution that can provide
you with desktop access to your accounting software when on the road or at another
office, anywhere!
Assuming you have internet access from both sides, products in the following combinations
can be a great solution: Virtual Private Networks allow additional security, Remote
Desktop Solutions can supplement or replace owning full IIS web services or full
web .net based accounting software if your budget allows for it. DMC Accounting

Surprisingly there are still service firms with substantial revenues and employee
counts that have yet to automate their Time & Expense systems. Integrating a Time
& Expense system is probably the single easiest cost saver granted your infrastructure
is not of serious age. And still, even with an upgraded infrastructure you likely
want to know how to recoup the software and hardware investment.
Those who are reluctant to integrate a Time & Expense system express the following
concerns, such as security or staff mistakes that make accurate entries impossible.
But these concerns just aren’t the norm; more entries are missed, dropped, or recorded
incorrectly in the contract scenario. Dropped information is extremely costly in

If you’re thinking about making the change from Deltek products to Axium, here are
a few technical points you should know about. Although you will need to migrate
your data, you will also be given a clean slate to utilize all the features with
the new technologies Axium has to offer. You will not be tied down to your old ways
and bad habits that kept you from going up a level in automation. What I mean is
that hanging on to your security blanket of "data" is not always the best business
decision.
Axium offers a simple to use, real time interface that may be a better match for
those wanting to keep things simple. Its design is superior in many ways to other
accounting systems in respect to the day to day operations. And in many AE firms
that is the priority when operating accounting. Also, if you were not utilizing
project management in your legacy systems, it is most often because of unhappiness
with the design interface or from the lack of having “real time data.”
It takes a lot of dedication to change software, but it can be well worth it if
you’re up for trying things a new and simpler way.

Migration seems like a large, scary process, and in some respects this is true.
Just like a large flock of birds flying south for the winter, it works best when

This particular session was designed to meet the needs of Advantage and Vision billing
users, but we do plan to host vision only user groups in the future. We also hope
to hold sessions in the future that focus on Project Reporting and Comparing Deltek
Advantage and Vision. Thank you for your compliments and suggestions. Specifically
the people who said that the presenter was effective, that the best part of the
seminar was the presenter having "knowledge of both applications" and for offering
"detailed billing explanations" in a “knowledgeable and friendly" manner.

Are you really backing up your accounting data? Even though you think you may be,
there is a chance you might not be...Why? Because accounting data involves more
than just a tape drive and having the associated hardware and software services
to know you have it right.
We blog and write to our clients almost too often regarding this topic. Why? The
message is either not being heard or it’s not being understood. I think it’s a little
bit of both. In terms that a non-technical person can understand: If you do not
back up your accounting information properly, and you need to retrieve information
from last week or last year, then you will be facing a painful problem. Backing
up information, whether you call it a copy, a hard drive, a tape drive, or a thumb
drive, is worthless if you cannot restore the file.
Accounting information spans over several years even in a tiny business. What needs
to be managed goes beyond your hard drive. One needs to be able to "get to" the
old information for lots of reasons. A government audit from 3 years ago, information
written during a hardware or power failure, or a simple accounting mistake not auto-corrected
by the software, are all common events which require accounting departments to rely
on a proper database backup.
We advise clients on how to properly manage data for restoration, and we archive
old software versions for proper record retention, including known security issues
surrounding the maintenance of Word, PDF, and Excel files that contain important
accounting information. Seek advice...have control over your data.
Why hold User Groups? To meet colleagues, to learn, and to share ideas. Through
user groups we are able to solve some of the most challenging accounting/software
issues. We also hold user groups in order to be part of the Boston community, and
to recognize ourselves as an independent leader that enjoys giving back to the community
in a free, non solicitous, and open forum.
When I was first handed the responsibility to chair the Harper Schuman User Group,
(a company now known as Deltek), I took the responsibility very seriously. Today,
we reach out to over 700 users throughout the northeast. Accountants, controllers
and IT staff, have all benefited from our user groups, evidenced by the years of
sustainability of the group. In some cases we have the manufacturer present and
we invite guest speakers to cover special topics.

DMC Accounting + Technology hosts seminars and user groups for users of software
we support. Why? Because we want to consistently reach out to clients in a forum
in which they feel welcome and able to openly connect to other users, and in some
instances, the manufacturer too.
This month we are hosting three events. But allow me to focus on just one, the MYOB
user group, coming up on February 13, 2009.
Our MYOB user group is held twice a year, and on occasion, we host co-op training
sessions with Acclivity (the makers of MYOB Premier and Account Edge). This upcoming
session will focus on new features for 2009 and will be an open forum to discuss
any concerns or questions that you, the user, may have.
Acclivity has been distributing great business solutions for 20 years...Their software
has consistently been supported and upgraded to the current MAC OS, and has been
a great solution for both Windows and MAC users in the areas of inventory management,
retail POS and service firms, as well as providers of merchant services and business
forms.

I am stumped this month with client concerns regarding their software post-sale.
Why businesses don't seek advice and pretesting before purchasing software mystifies
me. Perhaps businesses get caught up in the glitter of promises and features which
sales reps promise them. Or maybe they believe, that with their diligence and skill-sets
at hand, they can make their accounting software work.
My experience is that when you don't involve professionals in software selection
from the start, the results, in most cases, can be terribly costly. Most mid-range
manufacturers will not, under any circumstances, offer a refund for software.
I am advising clients, especially those with very particular needs, to find the
appropriate resources in order to test the software through and through on simple
key business transactions before signing the dotted line. Why? Because there are
too many instances in which software is not being refunded after discovering that
the software simply will not meet their needs.
Anything you spend in pre-diligence, even if the dollar amount seems steep, is well
worth avoiding a major mistake. Most software companies sell software first, and
then pay mind to customer satisfaction later. Let us help you review your accounting
decisions before committing to any large costs.
